Professional Privacy & Data Governance

This policy outlines how CostSeg governs and protects the engineering-grade property data and financial records required for cost segregation analysis.

1. Data Sovereignty & Control

CostSeg acts as a **Data Processor** for your tax and property information. All uploaded closing statements, blueprints, and contractor invoices remain the intellectual property of the User or the property owner.

We do not claim ownership of any raw documentation or specific asset data points generated during the study. You maintain full data sovereignty, including the right to export, modify, or permanently delete all associated project files upon termination of your session.

2. AI Model Isolation & Safety

Enterprise AI Standard

CostSeg utilizes advanced OCR and classification models to perform engineering takeoffs. We explicitly confirm that **Customer Data is NOT used to train foundation models.**

"Proprietary data processed during the Extraction and Classification phase is siloed within the specific project instance. No text from your sensitive acquisition documents is fed back into public datasets or used to benefit third-party users."

3. Use of Engineering & Financial Data

In accordance with the **IRS Audit Technique Guide for Cost Segregation**, we collect and process specific financial elements including:

  • Depreciable Cost Basis
  • Placed-In-Service Dates
  • ALTA/ACSM Land Surveys
  • Specific MACRS Assets

This data is processed solely to generate the **Audit Trail Exhibit** and to map assets to Rev. Proc. 87-56 lives. We do not sell or share these specific engineering records with any marketers or advertising networks.

4. Security Disclosure & Governance

Encryption

All data in transit is protected by TLS 1.3 encryption. At-rest data is encrypted using AES-256 engineering standards.

Siloed Sessions

Each study session is protected by a unique cryptographic ID, ensuring no cross-exposure between different clients or studies.

5. Audit Trail Retention Policy

To ensure defensibility in the event of an IRS inquiry or engineering audit, CostSeg maintains a **System Audit Trail** for up to 7 years (matching standard tax statute limitations), unless a User explicitly requests an earlier deletion.

This audit trail contains:

  • Log of AI identification logic for individual assets.
  • Original source document references for approved line items.
  • Rationale for MACRS life selection applied by the engine.

Your Compliance Rights

Under professional engineering and data privacy standards (including GDPR and CCPA principles where applicable), you have the right to access, rectify, or erase your study records. You may also request an export of your full audit trail in a machine-readable format for external professional certification.
